Why do you need an Event Manager?

An Event Manager is the personal head of your event who takes on all the organisation, control and coordination of the project, from the first idea to the end of the event.

Thanks to this, the client does not have to look for contractors, keep track of deadlines, solve technical issues or deal with emergencies. All processes are managed by one responsible specialist.

What an Event Manager's work includes

1. Full project management

Running the event from the first enquiry to the end of the project. Control over every stage of preparation and delivery. Keeping to deadlines, budget and agreed objectives.

2. Planning and concept development

Creating the event concept. Preparing the script. Drawing up a detailed event timing. Choosing the best format.

3. Budget preparation and control

Drawing up the estimate. Finding the best solutions for the client's budget. Adjusting costs when the brief changes. Finalising the budget and controlling expenses.

4. Selecting and managing contractors

Finding and booking venues. Selecting artists, hosts, musicians and show programmes. Organising catering and service staff. Working with every contractor on the project.

5. Technical coordination

Control of sound, lighting and AV equipment. Checking the venue's technical requirements. Coordinating the setup, tuning and dismantling of equipment. Control over the quality of technical delivery.

6. Logistics management

Organising delivery of equipment and decor. Control of transport and staff. Coordinating setup and dismantling. Keeping to the timing at every stage.

7. Working with artists

Booking artists and show programmes. Preparing technical and hospitality riders. Making sure artists go on according to the script. Quick replacement of performers in case of emergency.

8. Control on the day of the event

Coordinating all services at the venue. Controlling the quality of the services delivered. Solving issues in real time. Keeping the event running without interruption.

9. Paperwork and administrative support

Preparing contracts and invoices. Controlling payments and settlements. Administrative support of the project. Tax and organisational expenses.

10. Constant contact with the client

Prompt answers to questions. Regular progress reports. Agreeing all key decisions. Full transparency of every process.

What does the client get?

One responsible person instead of a dozen contractors: one estimate, one contact and one timing. The client has no one to find and no one to chase — the day runs to plan, and the client spends their own event as a guest.
