A hotel is what you book when there are many guests, some of them flying in, and everything has to be predictable: a banquet room, a kitchen, parking, air conditioning and bedrooms in the same place. ## Ballroom or outdoor space

A ballroom is a guarantee: rain, wind and heat do not touch the evening, the power is there and the technical build is simpler. An outdoor lawn or beachfront is more beautiful and photographs better, but it needs a plan B for rain and it is limited in time — in almost every hotel outdoor music stops at 22:00 and the evening moves inside. We build that into the timeline in advance rather than solving it on the night.

## What to ask the hotel before booking

- **F&B minimum.** Hotels rarely charge for the room — they charge a minimum spend on food and drink. That minimum, not the "free" venue, is the real price of the evening.
- **Outside catering.** Almost never allowed. A cake from outside is sometimes permitted, against a corkage fee.
- **Your own equipment and [DJ](https://www.doubledproject.com/en/services/dj-phuket).** Allowed more often than people expect, but it must be agreed in advance and needs a build window, usually a few hours before doors.
- **Finish time.** Typically midnight inside the ballroom, 22:00 outdoors.
- **Power and distribution points.** Hotels are reliable here, but we still confirm in writing that the supply covers a stage and an [LED screen](https://www.doubledproject.com/en/services/led-screen-rental-phuket).

**How much does a hotel event venue cost in Phuket?**

From 30,000 THB for the space. Most hotels charge a minimum spend on food and drink rather than a room fee, so the final figure depends on guest numbers and the menu.
**Can we bring our own equipment and DJ into a hotel?**

Usually yes, but it must be agreed in advance and needs a build window. We handle the approval and arrive several hours before doors.
**How late can music play at a hotel?**

As a rule outdoor music stops at 22:00 and the ballroom runs until midnight. We plan the timeline so that moving inside is part of the programme rather than a surprise.
**What happens if it rains?**

Every outdoor hotel space is held with a backup ballroom or a tent. The plan B is agreed at booking and the call is made a few hours before doors.
**Is a hotel the right choice for a conference?**
